Excel report design tips that actually work

Five design principles for spreadsheet reports that look professional when exported to PDF.

Spreadsheets are for analysis. Reports are for decisions. These five principles help you cross that gap.

1. Lead with KPIs

Put the three numbers leadership cares about at the top: revenue, growth, and one operational metric. Everything else supports those.

2. One idea per chart

A chart should answer one question. "How did revenue trend?" gets a line chart. "Where did revenue come from?" gets a bar or pie chart.

3. Use consistent spacing

Align elements to a grid. MyReportStudio's snap-to-grid helps — treat the canvas like a slide deck, not a freeform worksheet.

4. Pick a theme and stay in it

Switching fonts and colours mid-report looks amateur. Choose one of the 14 built-in themes and let it handle typography and chart colours.

5. Write a one-paragraph summary

Numbers without narrative leave room for misinterpretation. Add a short summary box with what changed and why it matters.
